Step 1: Access the Web Image Monitor

  1. Ensure that your Ricoh copier machine is powered on and connected to the network.
  2. Open a web browser on a computer connected to the same network.
  3. In the address bar, type the IP address of your Ricoh copier machine. This address can typically be found in the copier’s settings or on a network configuration page.

Step 2: Log In to the Ricoh Web Image Monitor

  1. When you access the copier’s IP address in your web browser, you’ll be prompted to log in. Use your administrative credentials to log in. If you don’t have these credentials, contact your IT administrator.

Step 3: Access User Management

  1. Once logged in, you’ll be directed to the Ricoh Web Image Monitor.
  2. Look for the “User Tools” or “Settings” tab, and select it.

Step 4: Navigate to User Authentication

  1. In the User Tools or Settings menu, navigate to “User Authentication” or a similar option. This is where you’ll manage user profiles.

Step 5: Create a New User

  1. Under User Authentication, select “New User” or a similar option to create a new user profile.
  2. You’ll be prompted to enter the user’s details. This typically includes their username, email address, and password. Some systems may also ask for additional information like their full name and department.

Step 6: Set Scanning Permissions

  1. After creating the user profile, you’ll need to specify the scanning permissions for this user.
  2. Determine whether the user can scan to email, network folders, cloud services, or other destinations.
  3. Configure the user’s preferred scanning settings, such as resolution, file format, and duplex scanning options.

Step 7: Save and Apply

  1. Once you’ve configured the user’s scanning settings, save the changes.
  2. The new user profile is now ready to be used for scanning.

Step 8: Testing the User Profile

  1. To ensure that the new user profile works correctly, go to the Ricoh copier machine.
  2. Select the “Scanner” or “Scan” function on the copier’s control panel.
  3. Choose the newly created user profile from the list of available profiles.
  4. Scan a test document to verify that it is delivered to the designated destination (e.g., email, network folder).
